At Ebike Freedom CIC, we believe in being upfront and honest about everything we do,  from how we fix your bikes to how we handle your personal data. This document covers our statutory company details, privacy practices, and our terms of sale for our online shop and workshop services.

Asset Lock: As a CIC, all assets and profits are legally locked and reinvested into the community to promote sustainable transport and accessible cycling.

Part 2: Privacy Policy (UK GDPR)

1. Information We Collect and Why

We only ask for personal data when we genuinely need it to provide a service.

  • Online Retail & Repairs: We collect your name, billing address, shipping address, email, and phone number to process your order, manage delivery, schedule repairs, or coordinate click-and-collect at our Glasgow workshop.

  • Custom & Adaptive Builds: When designing bespoke mobility solutions or eCycle conversions, we may collect specific information about your mobility needs to ensure the bike is engineered safely and correctly to your requirements.

  • Cycle to Work Schemes: We collect and process employment and voucher information required to process applications through Cyclescheme, Cycle Solutions, or Halfords Cycle2Work.

  • WhatsApp Contact: If you contact our workshop via WhatsApp, we see your phone number and message content in order to help you.

  • Website Analytics: We collect anonymous data through cookies to understand our traffic and improve the site. See Part 4 for details.

2. Payment Security

All online transactions are processed securely through Stripe and/or PayPal. Ebike Freedom CIC never stores or sees your card or bank details.

3. Data Sharing & Retention

We do not sell, rent, or trade your data. We only share it with essential partners (Squarespace, payment processors, delivery couriers, or Cycle to Work providers) to complete your order. We retain your data only as long as necessary to provide services or comply with UK tax and company record requirements.

4. Your Rights

Under UK GDPR, you have the right to access, correct, or request deletion of your personal data at any time. Contact us at info.ebikefreedomcic@gmail.com.

You also have the right to complain to the Information Commissioner’s Office (ICO) if you believe your data is being mishandled. Visit ico.org.uk or call 0303 123 1113.

Part 3: E-Commerce & Workshop Terms of Sale

By purchasing from Ebike Freedom CIC, you agree to the terms below. The terms that apply to you depend on what you are buying.

Which terms apply to you?

  • Part 3A: New bikes ordered directly from our brand partners e.g. Fiido, ENGWE, ADO

  • Part 3B: Refurbished & workshop stock (second-hand or refurbished bikes and parts held in our Glasgow workshop)

  • Part 3C : Custom builds, adaptive bikes & eCycle conversions

  • Parts 3D–3F apply to all three types.

  • Part 3A : New Ebike Orders 

    This applies to brand-new bikes ordered on your behalf from our brand partners (Fiido, ENGWE, ADO, and others). These bikes are dispatched directly from the supplier or UK warehouse to your delivery address. They do not leave from our Glasgow workshop.

    Right to Cancel

    You can cancel your order at any time before the item has been dispatched by the supplier. Contact us immediately at info.ebikefreedomcic@gmail.com. We will do our best to stop the dispatch, but once an item has left the warehouse we cannot guarantee cancellation.

    Right to Return

    Once you have received your order, you have 14 days to notify us that you wish to return it, and a further 14 days to send it back. Items must be unused, unassembled, and in their original packaging.

    • Return shipping on dropship orders is the buyer’s responsibility. For large or heavy items (e.g. full e-bikes), we strongly recommend using a tracked and insured courier.

    • Once the item is received back and inspected, a refund will be issued within 14 days.

    • If an item arrives damaged or faulty, contact us within 48 hours with photographs and we will arrange a replacement or refund at no cost to you.

    Delivery Timeframes

    Estimated delivery times are provided at the point of order and are based on supplier lead times. Delays caused by customs, couriers, or supplier stock issues are outside our control. We will keep you updated if a delay occurs.

  • Part 3B : Refurbished & Workshop Stock

    This applies to second-hand and refurbished bikes, parts, and accessories held in our Glasgow workshop. Every refurbished e-bike goes through a rigorous multi-point safety inspection carried out by our professional mechanics before being offered for sale.

    Right to Cancel

    You can cancel your order at any time before collection or dispatch. Contact us at info.ebikefreedomcic@gmail.com or call 07479 434898.

    Right to Return

    Once you have received or collected your item, you have 14 days to notify us that you wish to return it, and a further 14 days to return it. Items must be in the same condition as when they left the workshop,  unused and unmodified.

    • Return shipping costs are the buyer’s responsibility, or items can be returned in person to our Glasgow workshop.

    • Refunds will be issued within 14 days of the item being received back and inspected.

    Refurbished Warranty

    All refurbished and second-hand e-bikes come with a 3-month workshop warranty on the frame, motor, and battery. This covers unexpected electrical or mechanical breakdown and workshop labour. It does not cover general wear and tear, punctures, accidental damage, or modifications made outside our workshop.

  • Part 3C : Custom Builds, Adaptive Bikes & eCycle Conversions

    This applies to any work commissioned from Ebike Freedom CIC that is built, engineered, or modified to your personal specification. This includes custom e-bike builds, eCycle conversions of your own bike, and adaptive or accessible mobility builds.

    All custom builds are subject to a separate Custom Build Agreement which must be signed and a deposit paid before any work begins. The Custom Build Agreement contains the full terms for your commission, including the detailed payment schedule, specification sign-off, and timeline. The terms below are a summary.

    Consumer Contracts Regulations | Custom Build Exemption

    Custom-made goods are explicitly exempt from the standard 14-day right to cancel under the Consumer Contracts Regulations 2013. This is because the goods are made specifically to your personal requirements and cannot be resold.

  • Cancellation Terms

    Custom build cancellation — what applies when

    • Before work starts: You may cancel before Ebike Freedom CIC has ordered parts or started assembly. Your deposit will be refunded in full.

    • After parts are ordered: If parts have been ordered specifically for your build, the cost of those parts will be deducted from your deposit before any refund is issued.

    • After assembly has begun: No refund can be issued on labour or bespoke components once assembly has started. Any refundable amount will be calculated at Ebike Freedom CIC’s discretion based on work completed.

    • Completed build not collected: If the completed build is not collected within 30 days of notification, storage costs may apply. After 90 days, the build may be treated as abandoned and costs recovered from any deposit held.

    No Right of Return

    Because custom and adaptive builds are engineered specifically to your requirements, they cannot be returned for a refund once completed. If a fault arises from our workmanship, this is covered under the warranty below.

    Custom Build Warranty

    Ebike Freedom CIC provides a 3-month workshop warranty on custom builds, covering the frame integrity, motor function, and battery performance as specified in your build agreement. It does not cover wear and tear, misuse, modifications made outside our workshop, or changes in your personal requirements after completion.

  • Part 3D : Price Match Promise (All Orders)

    If you find the same product available for less elsewhere, get in touch, we may be able to match the price, subject to the following:

    • The item must be identical (same brand, model, size, and colour).

    • It must be in stock and available for delivery from the seller within 7 days.

    • The seller must be UK-based and sell directly to consumers.

    • The lower price must not involve membership discounts, bulk pricing, or personal discounts.

    • Other offers, vouchers, or Cycle to Work schemes cannot be combined with a price match.

    We do not match prices from clearance or closing-down sales, pre-sales, auction listings, eBay, Amazon, or trade-only retailers. We reserve the right to decline a price match at our discretion.

  • Part 3E : Click & Collect Security (All Orders)

    To prevent fraud, all Click & Collect orders picked up from our Glasgow workshop must be accompanied by the original order confirmation email and a valid photo ID matching the billing name on the invoice.

  • Part 3F : Cycle to Work Voucher Processing (All Orders)

    Bikes purchased via a Cycle to Work scheme will not be ordered, built, or released until the official hire voucher has been validated and cleared by the relevant scheme provider (Cyclescheme, Cycle Solutions, or Halfords Cycle2Work).

  • Part 3G : High-Powered & Off-Road Builds (Over 250W)

    Under UK law, e-bikes with motors exceeding 250W or capable of electrical assistance above 15.5 mph are classified as motor vehicles. Any high-powered or off-road builds sold by Ebike Freedom CIC are intended strictly for use on private land with the landowner’s permission.

    The buyer accepts full responsibility for ensuring their use complies with UK traffic law. Ebike Freedom CIC accepts no liability for public road use of a non-compliant vehicle.

Our website uses cookies to keep the shop working and to help us understand how people use the site.
