At Ebike Freedom CIC, we believe in being upfront, straight-talking, and honest about everything we do, from how we fix your bikes to how we handle your personal data. This document covers our statutory company details, privacy practices, and our terms of sale for our online shop and workshop services.

Part 2: Privacy Policy (UK GDPR)
1. Information We Collect and Why
We only ask for personal data when we truly need it to provide a service to you.
Online Retail & Repairs: We collect your name, billing address, shipping address, email, and phone number to process your order, manage delivery, schedule repairs, or coordinate a click-and-collect at our Glasgow workshop.
Custom & Adaptive Builds: When designing bespoke mobility solutions or eCycle conversions for disabled riders, we may collect specific requirements regarding your mobility needs to ensure the bike is engineered safely and correctly to your specifications.
Cycle to Work Schemes: We collect and process employment and voucher information required to clear applications through partner schemes like Cyclescheme, Cycle Solutions, or Halfords Cycle2Work.
Instant Messaging (WhatsApp): If you contact our workshop or delivery rider hub via our instant WhatsApp buttons, we see your phone number and details to resolve your technical needs quickly.
Website Analytics: We collect anonymous data through cookies (such as your IP address and pages visited) using Google Search Console and analytics to understand our traffic and improve our site performance.
2. Payment Security
All online retail transactions on our Squarespace storefront are processed securely through trusted third-party gateways (Stripe and/or PayPal). Ebike Freedom CIC never stores or sees your credit card or bank details.
3. Data Sharing & Retention
We do not sell, rent, or trade your data. We only share it with essential partners (such as Squarespace, payment processors, delivery couriers, or Cycle to Work providers) to complete your order. We only retain your data for as long as necessary to provide services or comply with statutory UK tax and company records.
Part 3: E-Commerce & Workshop Terms of Sale
By purchasing a bike, part, service, or custom build from Ebike Freedom CIC, you agree to the following terms:
1. Refurbished & Second-Hand Sales
Every refurbished e-bike we sell goes through a rigorous multipoint safety inspection and certification by our professional mechanics before leaving the workshop.
Online orders are subject to availability. A contract is only formed once we explicitly dispatch the order or confirm it is ready for collection, protecting us against online inventory pricing errors.
2. Price Match Promise
We pride ourselves in offering our customers great value and the best service. At our online Ebike store, we’re committed to offering great value and earning your trust. That’s why we regularly check competitor prices and adjust ours to stay competitive.
If you find the same product available for less elsewhere, get in touch, we may be able to match the price, provided it meets all criteria below:
The item must be identical (same brand, model, size, and colour).
It must be in stock and ready for delivery from the seller.
The seller’s price must include UK delivery within 7 days.
The seller must be UK-based and sell directly to customers.
The lower price must not involve membership discounts, bulk pricing, or personal discounts.
Other offers, vouchers, or schemes (like the Cycle to Work scheme) cannot be used with a price match.
We do not match prices from:
Clearance or closing down sales
Pre-sales or auction-style listings
Online marketplaces like eBay or Amazon
Specialist or trade-only retailers

3. Custom Mobility Engineering & Adaptive Bikes
All bespoke builds, wheelchair e-bike conversions, and custom adaptive trikes require a signed technical specification and a deposit before workshop assembly begins.
Because these vehicles are custom engineered to the unique physical requirements of individual disabled customers, custom builds and bespoke components are non-refundable once assembly has commenced.
4. Warranty & Returns
The Shop’s Refurbished Warranty: Because we believe in our professional mechanics and our "Fast and Fair" motto, Ebike Freedom CIC provides a dedicated 3 month shop warranty on the frame, motor, and battery of all our refurbished and second hand e-bikes. This covers unexpected electrical or mechanical breakdown and workshop labour. It does not cover general wear and tear, punctures, accidental damage, or modifications made outside our workshop.
Manufacturer Warranties: For brand-new components, accessories, or new e-bikes sold through our storefront, the purchase is covered by the standard manufacturer’s warranty. Ebike Freedom CIC will gladly help you process a manufacturer claim if a brand-new item develops a fault within its designated warranty period.
Online Order Returns: In line with UK distance selling rules, online orders for standard parts or standard refurbished bikes can be returned unused within 14 days for a full refund.
Return Shipping: The buyer is responsible for covering the return shipping costs, or the item must be returned to our Glasgow workshop in person.
5. Click & Collect Security
To prevent fraudulent online card usage, all Click & Collect orders picked up from Unit 1A must be accompanied by the original order confirmation email and a valid photo ID matching the billing name on the invoice.
6. Cycle to Work Voucher Processing
Bikes purchased via a Cycle to Work program will not be ordered, built, or released to the customer until the official hire voucher has been successfully submitted, validated, and cleared by the respective scheme provider.
7. High-Powered & Off-Road Builds (Over 250W)
In accordance with UK law, e-bikes equipped with motors exceeding 250W or capable of electrical assistance past 15.5mph are classified as motor vehicles.
Any high-powered bikes, conversion kits, or custom builds exceeding these limits sold by Ebike Freedom CIC are intended strictly for use on private land with the landowner’s permission, or for off-road use.
The buyer accepts full responsibility for ensuring their use complies with UK traffic laws, registration, and licensing requirements. Ebike Freedom CIC accepts no liability for public road use of non-compliant vehicles.
